Switching to PAI: Let Us Take the Lift off HR
Changing your third-party administrator (TPA) is a big decision. Your benefits administration partner impacts employee experience, HR workload, access to reporting, and the overall performance of your health plan.
For many employers, the hesitation isn't deciding whether a change is needed, it's wondering how disruptive the transition might be. Too often, a bad decision to stay with a current solution is made because of the unease over the transition – even if you know the new plan will be better.
At Planned Administrators Incorporated (PAI), we believe changing TPAs should feel organized, supported, and manageable. Our experienced Account Management team works closely with employers, brokers, carriers, and vendors to coordinate every phase of implementation, helping organizations move forward with confidence while maintaining focus on their employees and business objectives.
Why Switching to PAI is Easier with Dedicated Support
A successful implementation requires more than a project timeline.
PAI brings more than 45 years of third-party administration experience, and decades of employee tenure, to the transition process and supports employers across all 50 states. Unlike other organizations that rely on implementation teams, at PAI it is our Account Executives who lead the implementation process, working directly with employers, brokers, carriers, and vendor partners to coordinate the activities necessary to prepare for a successful move. These same Account Executive are the ones who serve as your day-to-day contact once the implementation is complete.
Rather than leaving employers to coordinate numerous moving parts independently, we provide structured support and dedicated resources throughout implementation. From planning meetings and file setup to testing and employee communications, we help guide the process while keeping stakeholders aligned.
A transition may last months. A successful partnership lasts many years.
We Handle File Transfers and Data Coordination
Accurate data is critical to successful benefits administration.
Eligibility records, enrollment information, dependent data, and vendor files must be transferred, validated, and tested before implementation can be completed successfully.
PAI works directly with employers and vendors to coordinate file transfers, establish testing procedures, review discrepancies, and support validation efforts.
By identifying data issues early, we help reduce potential service disruptions and improve readiness before your effective date.
We Support Employees Throughout the Transition
Employees often judge a benefits program by how easy it is to use.
When a new administrator is introduced, employees need answers to practical questions:
- When does the transition take effect?
- Will benefits change?
- How do I access my ID card?
- Where do I find providers?
- How do I review claims?
- Who do I contact for help?
PAI supports employee communications throughout implementation and provides members with access to online tools that help them manage their benefits. Your dedicated Account Executive is also available on site, if requested, to assist members in navigating their new plan.
Frequently Asked Questions About Switching TPAs
How difficult is it to switch to PAI?
The complexity varies based on plan structure, vendor relationships, data readiness, and contractual requirements, but PAI is there every step of the way. We develop a clearly defined implementation plan helps establish responsibilities, timelines, testing requirements, and communication expectations.
How long does transition take?
PAI will take your required effective date and work backwards to ensure all deadlines are met for a seamless go-live on the requested date. Part of the timeline is dependent upon whether or not we need to connect to any new vendor partners, or if we are leveraging our existing solutions. But as a general rule, we look for 30-60 days (from confirmed sale to effective date) to implement a typical account.
Will changing to PAI create more work for HR?
HR involvement is important, but we fully recognize that HR departments are having to juggle multiple responsibilities at one time. PAI significantly reduces administrative burden by having our Account Executives do the heavily lifting and ensure the milestones are met on time.
What happens to eligibility and enrollment data?
Eligibility information must be transferred, reviewed, tested, and validated as part of implementation. PAI coordinates these activities with employers, carriers, and vendors to support a successful transition.
Does changing TPAs mean employee benefits change?
Not necessarily. Changing a TPA and changing plan benefits are separate decisions. Any modifications to benefits, networks, ID cards, portals, or support resources should be communicated clearly to employees before the effective date, and PAI can help with this communication as part of the implementation process.
Who handles claims incurred before the transition?
Responsibility depends on current agreements, new administrative agreements, and any run-out arrangements. Typically, the previous administrator will continue to handle claims incurred prior to the plan termination date since providers have months to submit claims, but employers should document these responsibilities before implementation begins.
What support does PAI provide after implementation?
PAI provides ongoing support that may include eligibility administration, claims administration, reporting, vendor coordination, member service, and account management based on your organization's specific arrangement.
Thinking Beyond the Transition
Switching TPAs is about more than changing administrators.
It's an opportunity to improve employee experiences, strengthen support resources, gain better visibility into plan performance, simplify administration, and build a stronger foundation for your benefits strategy.
PAI combines experienced people, dedicated support, self-funded administration expertise, member resources, reporting capabilities, and long-term partnership to help employers navigate that change with confidence.
